We are looking for a committed and highly organized Operations & Office Management Assistant (m/f/d) to support us in structuring, organizing, and optimizing our daily business operations. At realistisch.ai, we work fully remote, serve German clients, and collaborate with international teams who execute our AI-powered content production. This role is essential for keeping our workflows smooth, our communication clear, and our operations scalable. Perfect German and English are required. Your Responsibilities - Manage administrative and organizational tasks in a digital environment (e.g., handling orders, updating digital personnel files, overseeing invoices, tracking payments, managing documents) - Support the management team and project leads with coordination tasks - Draft and manage emails, letters, notes, documentation, SOPs and meeting minutes - Communicate with German clients regarding organizational matters (email & phone) - Coordinate tasks and information flow between our German management and international production teams - Assist in scheduling, planning, and preparing internal and external meetings - Maintain digital filing systems, process documents, and manage operational tools - Support in organizing virtual events, online workshops, and occasional in-person events - Identify opportunities to improve operational efficiency, workflows, and automation
